Privacy Policy

Walk Talk Counselling is committed to protecting the privacy and confidentiality of all clients. This policy outlines how personal information is collected, stored, used, and protected in accordance with the Privacy Act 1988, including the Australian Privacy Principles (APPs), and relevant state-based health privacy legislation.

Collection of Personal Information

As part of delivering counselling services, Walk Talk Counselling collects personal and sensitive information that may include a client's name, contact details, date of birth, emergency contact information, referral or background information, clinical notes, and any other details voluntarily shared in session. This information is collected directly from clients through intake forms, discussions, and administrative processes.

Use of Personal Information

Personal and health information is used solely for the purpose of providing safe, ethical, and effective counselling services. This includes the delivery of psychological support, the management of appointments, the maintenance of clinical records, and relevant communication with the client. Walk Talk Counselling does not sell, rent, or disclose personal information to third parties. Disclosure may occur only with the client's informed, written consent or when required or authorised by law. This includes situations where there is a serious and imminent risk to the safety of the client or others, or where disclosure is legally mandated, such as under mandatory reporting or court subpoena.

Data Storage and Security

All client records are securely stored. Digital records are protected through encrypted, password-secured platforms, and any paper-based records (if used) are stored securely and destroyed in line with clinical recordkeeping guidelines. While every effort is made to ensure secure communication and storage, clients are advised that no digital system is entirely without risk. Walk Talk Counselling encourages clients to raise any concerns regarding the use of email, SMS, or video conferencing platforms.

Confidentiality

Counselling sessions are confidential. The counsellor may take brief notes to support the therapeutic process. These notes are for internal clinical use only and are not shared without the client's consent, except where disclosure is required by law or in situations involving serious risk. Exceptions to confidentiality are explained during the intake process and may be discussed again during the course of therapy as needed.

Client Rights

Clients have the right to access the personal information held about them, subject to legal and clinical considerations. They may also request that any inaccurate or outdated information be corrected. Clients have the right to withdraw consent for the storage or use of their information, understanding that doing so may affect the ability to provide ongoing services. Any requests should be made in writing and will be responded to within a reasonable timeframe.

Communication

Walk Talk Counselling may use digital communication, such as SMS or email, for administrative purposes like scheduling or appointment reminders. By engaging in services, clients consent to this form of communication unless alternative arrangements are requested. Clients are welcome to express a preference for alternative methods.

Updates to This Policy

This privacy policy may be updated from time to time to reflect changes in legal obligations, clinical practices, or administrative systems. The most current version will always be available on the Walk Talk Counselling website.
